What is notary order management software, and does a title agency need it?

Notary order management software runs each signing order from intake to a paid notary. Dispatch software answers one narrower question: which of your own notaries is free right now, in that county. If your orders already live in your title production software, you probably need dispatch, not a second place to track the same order.

NotaryBoard is dispatch software, not order management, so this page sorts the two honestly, including where we're not the right fit. Every other product is described from its own public site, checked October 28, 2026. For the whole category side by side, see the best notary scheduling software for title agencies. For dispatch on its own, see what notary dispatch software is.

What is notary order management software?

It's software that runs a signing order from start to finish. An order comes in, often straight from title production software. It gets assigned to a notary, sometimes by bidding or coverage rules. Then the software tracks its status, collects scan-backs and documents, and often handles paying the notary. It's built for whoever manages a high volume of individual orders, which is why signing services use it as much as title companies do.

Which products are notary order management software?

Here's how three of them describe themselves on their own sites, checked October 28, 2026. CloseWise calls itself a notary scheduling and business management platform. For title and escrow companies it says it can take in orders automatically, assign them with rules you control, track order status, and automate agent pay, and it says it has more than 140,000 notaries in its database. SigningOrder calls itself a notary scheduling and order management platform for real estate signings, with list upload so you can work from your own notaries, a dashboard for any volume of orders, and an integration that lets title teams place orders from their title production software. Snapdocs describes Notary Connect as a notary scheduling and management platform, with a self-serve tier where your team runs scheduling and a managed tier where Snapdocs runs it for you, backed by its nationwide notary network.

How is dispatch software different?

Dispatch software does one job: it tells you which of your own notaries are free in the county you need, and sends them the signing. It doesn't run the whole order. NotaryBoard is notary scheduling and dispatch software for title agencies. It shows each notary's real free/busy from their own calendar, you send the request in one tap, and the accepted signing goes on the notary's calendar so nobody double-books it. It does not supply notaries. Agencies invite and manage their own. It also doesn't store or move loan documents, invoice anyone, pay notaries, or connect to title production software yet.

Which one does a title agency need?

Start with where your orders already live. If your title production software already tracks the file, and the slow part of your day is calling around to find a notary who's free, you need dispatch, not a second system to track the same order. If you run a high volume of signing orders as their own business, pay notaries per signing, or want orders to flow in from your title software automatically, order management fits better. Most agencies need one or the other. Paying for both to do the same job is the mistake to avoid.

How do they charge?

Order management is usually priced per order. As of October 28, 2026, CloseWise's company plans list $20 a month plus $2 per order, or $100 a month plus $1.50 per order, and SigningOrder's homepage says $3 per order. Snapdocs says it offers flat, predictable pricing but doesn't publish the numbers. Dispatch software is usually a flat subscription: NotaryBoard is $39, $129 or $299 a month per agency, with no per-order fee, and free for notaries. Per-order pricing costs less in a slow month. A flat price costs less as your volume grows. Vendors change prices, so check their pricing pages before you run the math at your own volume.

Do these products come with notaries?

Some do. CloseWise, SigningOrder and Snapdocs all describe large notary networks or databases alongside their software, which helps if you need someone in a county you don't cover. NotaryBoard has no network. It works only with the notaries your agency already trusts. If you need notaries supplied, that's a signing service, and our sister company 247 Closers is one.

What should we ask a vendor before we buy?

Five questions. Where does an order start, and does it have to be typed in twice? Does it show which notaries are actually free, or only who is on the list? Can we use our own notaries, and do they pay anything? What does it cost at our real monthly volume, including per-order fees? And what does a notary see of their own calendar: only busy or free, or the details? That last one decides whether your notaries will connect at all.

NotaryBoard is notary scheduling and dispatch software for title agencies. It does not supply notaries. Agencies invite and manage their own.
